Support Guide: How to Reshare OneDrive and SharePoint Documents After Email Address Change

After the migration to the new domain (@fmu.edu), previously shared files and folders in OneDrive and SharePoint that were sent to your old address (@fmu.fmuniv.edu) or others' old addresses may no longer be accessible to the intended recipients. To restore access, you may need to re-share those documents using the updated email addresses.

Use this guide to manually reshare or update sharing permissions for files stored in OneDrive or SharePoint.

OneDrive (Web)

  1. Go to https://onedrive.live.com or access OneDrive via the Microsoft 365 portal.image
  2. Sign in with your updated FMU account (e.g., username@fmu.edu).  image
  3. Locate the file or folder you want to reshare.image
  4. Click the Share icon (or right-click > Share).

  5. In the Send Link window:
    • Click the dropdown to adjust link permissions if necessary.
    • Enter the recipient's updated email address (e.g., colleague@fmu.edu).
    • Click Send.                                                                          image
  6. (Optional) Click Manage Access to remove old email addresses or links no longer valid.

SharePoint (Web)

  1. Go to the site collection where your document library is located (e.g., https://fmu.sharepoint.com/sites/YourSiteName).                        image
  2. Navigate to the folder or document you want to reshare.                      image
  3. Hover over the file, click the ellipsis (...) or right-click > Share.                        image
  4. Follow the same steps as in OneDrive to resend access to updated @fmu.edu addresses.
  5. Use Manage Access to audit and remove any outdated shares.

Additional Tips

  • Check Shared With Me Tab: Sometimes, the document may no longer appear under "Shared with Me" for others until it's re-shared.
  • Shared Links: If you used anonymous or people-with-link sharing, regenerate and resend the new link.
  • Group Shares: Re-add any groups (e.g., class, department) if they were tied to old UPNs.
